Frequently asked questions
What is a business expense tracker?
A business expense tracker is a running log of money your business spends, with enough detail to review later: when it happened, what it was for, why it was a business cost, which category it belongs in, and how much it cost. Unlike a budget planner (which projects future spend), an expense tracker records actual costs. This Justools tool keeps that log in your browser, shows monthly and category breakdowns, and exports an Excel template you can open in Excel or Google Sheets.
How is this different from the Business Budget Planner?
The Business Budget Planner is for planning a year ahead: category rows and twelve month columns of expected amounts. The Business Expense Tracker is for logging real costs as they occur, one row per purchase or bill. Use the planner to set targets. Use this tracker to capture what you actually spent and export a clean spreadsheet.
Which expense categories should I use?
The presets cover common small-business and freelancer costs: advertising, software, equipment, office supplies, professional services, contractors, travel, meals and client meetings, transport, rent, utilities, insurance, bank fees, training, and other. Pick the closest fit. Categories are for organization, not a tax filing form. Map them to your local return lines with your accountant if needed.
Does the Excel file recalculate if I edit it?
Yes. The Log sheet stores your line amounts. The total row and the By month / By category / By vendor sheets use Excel formulas (SUM, SUMIF, COUNTIF) so edits in the Log update the summaries when the spreadsheet recalculates in Excel or Google Sheets.
Is this tax advice?
No. This tool helps you organize costs and export a spreadsheet. Deductibility rules differ by country and situation. Indication only, not tax or financial advice.
